How to export the Student XML file out of Accelerus
Overview
The information contained in this article provides schools with the steps required to import the student XML file out of Accelerus for importing into CASES21. Schools requiring information regarding the process to import the XML into CASES21 should refer to the CASES21 Help Desk.
How often must a school import an XML file into CASES21
All Victorian Government schools are expected to import their Victorian Curriculum results into CASES21 at the end of semester 1 and 2 reports. The Semester 1 import must be done prior to the setup of Semester 2 report, and the Semester 2 import must be done prior to the end of the year in order for CASES21 to be rolled over for the new year.
How to export the XML file from Accelerus
- Prerequisite: Import a Student XML file from CASES21
- If you have manually added any students to Accelerus, you need to import a current student XML file from CASES21 to ensure the correct campus and registration details are added for these students. If you do not, the results of student who were manually added will not be exported to CASES21 at the end of the semester.
- Go to the Export Student XML menu
- Log into Accelerus Web.
- Select Management.
- Select the Import and Export Data card.
- Under the Export option, select Export Student XML.
- Check for any issues with the students’ results
- Select Next in the bottom right-hand corner. This will check if there are any results or issues with the student data to be exported.
- Check the list of errors, ensuring you understand what they mean, and make any changes to the actions, where required.
- Download the XML file
- Select the Download link in the bottom right-hand corner.
- Wait until your browser indicates that the download has been completed.
- Import the XML file into CASES21
- Open or locate the XML file from where it was downloaded to
- Copy the file to a memory stick or to a network location that can be accessed from a CASES21 computer.
- Inform your CASES21 operator that the file may now be imported.
- Instructions for importing the XML file into CASES21 may be found on the CASES21 website.
XML file messages
- x students with their results will be exported
- This means these students’ results will be exported for import into CASES21.
- This should be all students in years 0 – 10.
- Unless you wish to exclude students, leave the option as ‘Export these students’ details’.
- x students will not be exported because of invalid CASES21 details (try importing CASES21 data first)
- This is caused by students who have been added to Accelerus Light manually and who do not have a campus or registration number.
- This can be fixed by exporting a student XML file out of CASES21 and importing it into Accelerus Light.
- This must be fixed and the export student XML process rerun for these scores to be imported into CASES21.
- x students will be exported with no results
- This is generally due to student who exited prior to reports being written.
- If these students should have results, ask the relevant teacher/s to enter results. Once this is done, rerun the export student XML process.
- If these students should not have results, decide whether to import their data into CASES21. Select ‘Export these student’s details’ to export these students or select ‘Don’t export these student’s details’ to exclude these students.
- x results will be exported as averages of multiple class results
- This is not an error. This informs schools of the result being exported to CASES21, where multiple teachers have assessed the same student on the same curriculum area/strand and have given them a different result.
- Schools may open the XML files after exporting and change the scores if they do not wish to use the score chosen by Accelerus Light.
- The highest score given by the teachers, is the score reported to CASES21.
- x students will not be exported because of an invalid year level
- Only Years 0 – 10 and UG are valid year levels to be exported into CASES21
- Unless the students listed should have their results exported to CASES21, no action needs to be taken to address this message.
- For Primary schools with this message, check the year level assigned to the student is UG or between 0 and 10
- For secondary schools this may be students in years 11 and 12.
- Where a student’s year level is updated, re-run the Export Student XML processes.
